Job Description

The University Technology Office at ASU is seeking an Event Coordinator who is energetic, creative and innovative. This position supports events that require a high level of detail, logistical coordination, professionalism and regular collaboration with ASU departments and units, representing the ASU University Technology Office (UTO).

PRIMARY PURPOSE:

The UTO at ASU is a values-driven organization that enables and catalyzes technological developments and capacity to serve the ASU community. Connecting community members worldwide, driving student success via advanced analytics, and building smart cities for social impact are just a few of UTO’s many transformative activities that require creative direction for how they are shared with the world, which can be through our events. As with everyone in the UTO family, culture and communications are core responsibilities in this role.

The UTO is seeking a full-time Event Coordinator for the UTO Events team to support Community Engagement which span across a diverse portfolio of technology activities, products, programs and services. As an event coordinator you will contribute to bringing people together while supporting the UTO-driven initiatives, products and services. This work entails supporting the Event Manager in planning, organizing, communicating and ensuring successful event production from beginning to completion, including post-event closure.

Incumbents are required to maintain a flexible work schedule in order to coordinate and attend evening and weekend events. Maintains on-call status. Please indicate availability in application materials. The ability to work 40 hours per week is preferred.

Salary Range

$35,568 - $50,000 per year; DOE

Essential Duties

Through creativity, detailed planning, organization, and multi-tasking, support the coordination and execution of a variety of in-person, hybrid and virtual events.
Provide administrative support including filing, scanning, copying, inventory tracking, and general office duties.
Organize, maintain and track electronic and/or hard copy files of all applicable required documentation.
Prepare and distribute office administration and event materials.
Assist with event set-up and tear down, which may involve lifting, moving furniture, cleaning, food and beverages set-up and removal.
Communicate effectively with guests, participants, staff and faculty.
Establish and maintain positive working relationships with event stakeholders, including, but not limited to: internal ASU colleges, units, and departments, external agencies and university partners, vendors.
Assist with researching and reserving event meeting space and technology.
Maintain and track event logistics before, during and after the event.
Maintain spreadsheets for tracking, modifying, and reconciling events and operational expenditures.
Support the development of logistical plans for events including, but not limited to: event communication, budget, venue, site diagrams, attendee registration, catering, A/V vendor management, staffing, technology, parking, permits, and procedures.
Work on multiple, concurrent projects under tight deadlines.
Serve as a key point of contact for day-of-event logistics, including being onsite to set, monitor and break down event infrastructure.
Work closely with the ASU safety collaborators including Fire, Police, and Emergency Medical Services and other internal ASU UTO Business and Finance departments including technology, transportation, facilities and more.
Understand and utilize event and project management systems including, but not limited to: Aventri, Asana, and Google Office.
Occasionally work evenings and weekends as some events occur outside traditional office hours.
Take responsibility for fostering culture, advancing our values, and championing engagement in all its forms -- collaborating across our teams as well as participating in UTO/ASU events and programs.

Minimum Qualifications

Associate's degree in Public Administration, Business Administration or a related field and two years of event planning and coordinating experience; OR,Four years of public relations and event planning/coordinating experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills, and abilities have been achieved.

Evidence of effective interpersonal, oral and written communication skills.

Experience in using Microsoft Office Suite, Outlook, Zoom Asana and Aventri.
Previous knowledge, skill in event management or equivalent experience or training.
Knowledge of preparing data entry, basic accounting concepts, phone etiquette, daily business transactions and customer service.
Ability to work independently.
Knowledge of accepted standards of courtesy, etiquette, social sense, and personal demeanor.
Knowledge of budgets, finance, and management principles and practices.
Knowledge of basic program management.
Skill in complex, unexpected, and diverse social settings in a diversified population.
Experience in coordinating and prioritizing work and activities of self and others.
Ability to stimulate changes in individual, institutional, and corporate behaviors to create a more sustainable environment.
Ability to lead by example in communicating, participating and encouraging support of the institution's sustainability programs.

Working Environment

Activities are mostly performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse.
Required to stand for varying lengths of time and walk moderate distances to perform work.
Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds.
Ability to clearly communicate to perform essential functions.
Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.
Regular activities require the ability to quickly change priorities which may include and/or are subject to the resolution of conflicts.
Receive a regular review of assignments for adherence to established goals and objectives.
This position may provide work direction of activities to others for the completion of project-related tasks.
